About the Role
We’re seeking an exceptional Executive Assistant & Business Development Partner to support S. Mitra Kalita in her dual roles as CEO of URL Media and Publisher of the local news outlet Epicenter NYC. This role goes far beyond traditional executive support. You will serve as a strategic partner, helping manage priorities across both organizations, advance business development opportunities, and ensure that meetings with staff, funders, clients, and partners translate into clear next steps and meaningful progress.
You’ll be trusted with sensitive information, high-level relationships, and complex logistics spanning both entities. You will attend meetings with the CEO and support business development efforts by helping move opportunities from conversation to execution.
The ideal candidate brings strong judgment, business acumen, and the ability to move seamlessly between strategy and execution in a fast-paced, mission-driven media environment. If you bring an additional skill set—such as video production, public relations, or nonprofit fundraising—we’re excited to help you further develop and apply it alongside the core responsibilities outlined below.
This is a hybrid role. While much of the work can be done remotely, the role requires working in person with the CEO at least one day per week to support meetings, planning, and real-time coordination.
Key Responsibilities
Executive & Calendar Management
- Manage the CEO’s calendar with a strategic lens, prioritizing the most sensitive and high-impact matters.
- Coordinate speaking engagements, personal and professional appointments, and multi-stakeholder meetings.
- Anticipate scheduling conflicts and proactively recommend solutions to optimize the CEO’s time.
Travel & Logistics
- Coordinate travel arrangements for the CEO, company executives, and staff, including flights, accommodations, itineraries, and ground transportation.
- Preemptively plan for logistical needs and contingencies related to travel and high-profile engagements.
Meeting Preparation & Follow-Through
- Organize meetings, including scheduling, sending reminders, preparing agendas, and arranging catering when needed.
- Attend meetings with the CEO, take detailed notes, and prepare summaries, action items, and follow-up communications.
- Draft initial agendas and briefing materials for internal and external meetings.
Business Development & Strategic Support
- Support business development efforts by helping move opportunities from conversation to execution.
- Research and connect relevant individuals, organizations, and topics related to the CEO’s priorities and meetings.
- Track commitments, proposals, and follow-ups with funders, clients, partners, and internal stakeholders.
Executive Communications & Administrative Support
- Provide administrative assistance, including drafting and editing emails, memos, presentations, and other communications on behalf of the CEO.
- Transcribe calls, prepare reports, and assist with high-level correspondence.
- Maintain the highest standards of professionalism and confidentiality in all communications.
Cross-Team Coordination & Special Projects
- Coordinate work with URL Media and Epicenter staff as needed, supporting alignment across teams.
- Play a key role in supporting staff efforts and ensuring momentum on CEO-led initiatives.
- Complete special projects, including creating decks, financial spreadsheets, reports, and executive materials.
Personal Support & Confidentiality
- Provide assistance on select personal tasks, including correspondence and scheduling, as assigned.
- Maintain strict confidentiality regarding sensitive personal, organizational, and financial information.
Additional Responsibilities
- Perform other duties as assigned, including supporting other departments and evolving priorities as needed.
Qualifications
- 3+ years of experience supporting senior executives in high-growth, media, or mission-driven organizations.
- Strong organizational and project management skills.
- Exceptional verbal, written, and interpersonal communication skills
- Ability to stay one step ahead, being proactive with calendar management and travel arrangements
- Demonstrated ability to exercise discretion, sound judgment, and initiative.
- Comfort working with senior leaders, funders, clients, and external partners.
- Experience supporting business development, partnerships, or strategic initiatives is a strong plus.
- Interest in media and/or desire to understand or work in aspects of media are a big plus, such as marketing, public relations, event management, writing, editing, social media, etc.
- Proficiency with Google Workspace, Slack, Zoom, and project management tools.
